About SmartTakeoffs
SmartTakeoffs is Division 11 40 00 foodservice equipment takeoff software for commercial kitchen equipment dealers. It turns a GC bid package — project manual, drawings, addendums — into a complete bid deliverable set in minutes, so estimators can bid more projects without growing the team.
What we make
SmartTakeoffs reads a foodservice equipment bid package and produces everything an estimator would otherwise build by hand:
- The takeoff spreadsheet, with manufacturer, model, quantity, and utility/install requirements per item
- The Division 11 40 00 spec section as a standalone PDF
- The food service drawing pages as a standalone PDF
- Quote-request emails routed to the dealer's rep groups, with spec and drawings attached
- Custom stainless fabrication estimates calibrated against real fab pricing
- Install labor estimates (commercial vs school, with hood install tier pricing)
- A CSV import file for the dealer's quoting software (AutoQuotes, KCL, etc.)
Who it's for
SmartTakeoffs is built specifically for commercial foodservice equipment dealers — the dealerships that bid Division 11 40 00 on schools, hotels, hospitals, restaurants, government, and similar commercial construction projects. It is not a general construction takeoff tool. It is not a pricing platform. It is not a project management product. It does the one thing that has stayed in Excel and Outlook for the last fifteen years — the takeoff — and it does it for a single, specific industry.
We assume our users already have a quoting platform like AutoQuotes or KCL. SmartTakeoffs hands off cleanly to those tools rather than trying to replace them. The takeoff is the bottleneck; pricing is the part that already works.
Why this exists
A Division 11 takeoff is one of the longest, most error-prone parts of a dealer's bid cycle. Spec review, equipment schedule decoding, manufacturer and rep routing, custom fabrication scoping, install estimating, addendum tracking, quote request emails, follow-up chasing — every step lives in a different tool, and every handoff is manual. Estimators who could be winning bids are spending their days reformatting them.
Almost every other construction trade has had category-specific estimating software for years. Foodservice equipment didn't, because the category is small enough that big takeoff vendors never built for it. SmartTakeoffs is the result of building the tool the category never got.
How we think about the product
- Estimator-led, not AI-led. Every output is editable and every extracted item is reviewable. The AI is fast, but the estimator is the source of truth.
- Specific, not generic.We don't try to handle every CSI division or every type of bid. Division 11 40 00 is the entire focus.
- Workflow first, features second.A feature only ships if it removes a real step from a real estimator's day.

Where we run
SmartTakeoffs is a U.S.-based, multi-tenant SaaS application. We handle dealer bid documents responsibly, encrypt them in transit and at rest, and isolate every dealer's data from every other dealer's. Our security practices are documented at /security and our privacy policy lives at /privacy.
